Deciding What to Charge to the University

Overview

Please consider the following when deciding what to Charge UC:

  • Only airfare can be directly charged to the university using a unique Direct Bill ID for each trip
  • A personal credit or corporate card will be required for hotel and/or rental car reservations

Decide if the Travel is Personal or Business‐related

If Personal Travel

  • You may use ConnexUC
  • You may not charge any expenses to the university

If Business-related Travel

Decide if you only need hotel and/or rental car reservations, or airfare reservations.

If Hotel and/or Rental Car Reservations

  • Log in to ConnexUC and book your travel using either a personal credit card or the US Bank Corporate Travel Card

If Airfare Reservations

Dedice if you want the university to pay directly for airfare.

If No
  • Log in to ConnexUC and book your travel using either a personal credit card or the US Bank Corporate Travel Card
If Yes
  • Create a unique Direct Bill ID (DBID) for each trip
    • Only eligible employees have access to create a DBID
    • A DBID is for official campus business only and may be used for employee, student, or guest travel
  • You will need to provide the following:
    • Traveler name
    • Destination
    • Travel dates
    • Chartstring that will be charged for the expense
  • In ConnexUC:
    • Select either BCD Travel or the UC Travel Center (UCTC)
    • Enter the DBID online or provide it to an agent over the phone
